Job Description

The Administrative Assistant provides general administrative support to leaders at the SVP and below levels of the organization. Work is performed under general supervision and requires incumbents to exercise independence and discretion.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Research a wide variety of information requests independently
Prepare and analyze trends and status reports, drawing data from a variety of sources within and outside the department
Routes or answers routine correspondence not requiring supervisor attention; compose and prepare routine correspondence
Maintains confidential department records and files Assists in the formulation of the department budget, business planning and related planning functions Has regular contact with customers, suppliers or team members outside the immediate work area
Arrange and coordinate travel schedules, reservations and meetings
Maintain and order supplies within budgetary and departmental guidelines Use ISR to request computer setup, changes and equipment from Information Technology Department
Proactively look for ways to improve processes

  • Advanced proficiency in Microsoft Office software (Word, Excel, PowerPoint, Outlook), and the ability to learn other software programs as required
  • Strong organizational skills with ability to manage multiple projects simultaneously
  • Working knowledge of PeopleSoft a plus
  • Strong time management and communication skills
  • Strong attention to detail
  • Perform with a high degree of ethics and confidentiality
  • Sense of urgency
  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations
  • Ability to write reports, business correspondence, and procedure manuals
  • Ability to effectively present information and respond to questions from all levels of the company
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals; ability to compute rate, ratio, and percent and to draw and interpret bar graphs
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists; ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form

Associate's degree (AA) or equivalent from two-year college/technical school; and three to five years related experience and/or training; or equivalent combination of education and experience

This job has no supervisory responsibilities

Notary Public certificate a plus
