The Risk Coordinator supports the Risk Services Department by performing essential tasks that support and assist risk management for all litigated and non-litigated workers compensation, general liability, auto, property and Texas Non-subscription claims.  This position processes and reconciles electronic payments for claim, insurance, vendors. 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Litigated WC, Auto and General Liability Claims (50%):

  • Provide administrative support in all Risk litigation related matters

  • Provide in house support to Risk Defense Counsel

  • Continuously update in house resources

  • Work closely with defense counsel to anticipate claim needs

  • Coordinate/compile documents for pre-claim investigation, Discovery Process, Interrogatories and depositions

  • Organize case documents

  • Respond to Subpoenas within designated time frame

  • Research new sources of information to improve efficiency

  • Conduct in-house research and retrieve evidentiary material

  • Obtain evidentiary materials in hard copy and electronic form

  • Utilize in house RIMS system to documents history of litigation

  • Review and route legal correspondence

  • Establish appropriate action plan to observe time sensitive deadlines

  • Maintain and manage a electronic diary system to manage open legal actions

  • Participate with claims management in the counsel evaluation process of staff and panel counsel. Makes recommendations for the addition / deletion of counsel.

  • Within granted authority approve defense counsel goals for suit

  • Perform other projects as necessary or as business needs change

Workers Compensation (25% - 30%):

  • Address and respond to basic questions and requests regarding claims from stores, Distribution Centers, third parties, defense attorneys and adjusters along with:

  • Route Workers Compensation medical bills to the correct office of the Third Party Administrator (TPA) for processing

  • Complete period allocation rebuttals and requests for credits from field managers within required timeframe of final submission of allocation charges to Accounting

  • Respond to basic questions from Medical Providers regarding WC billing information

  • As directed, distribute Workers Compensation Panel listing for new and existing stores as well as Autopart International, Carquest and Worldpac locations.  Maintain log of panels requested and sent. 

  • Answer phone and email inquiries on behalf of the Risk Management department to requests from Human Resources, Operations, or Adjuster on TM Return to Work and out of work status

  • Assist the Workers¿ Compensation Analyst in completing the weekly Modified Duty Hours Audit process and assist with the Allocations each period

  • As requested, send out a pre-formatted survey to injured TMs regarding the quality of care and service received

  • Compile information from PeopleSoft / WorkDay and submit ISRs as needed


Data Entry and Support (20%-30%):

  • Use established formats and procedures, enter data and provide administrative support to the Risk Management team as directed

  • Look up and enter property loss/damage invoices

  • Provide administrative support to Risk Services team as instructed

  • Assist with insurance renewal processes and track requests to other functions / departments

  • Collect internal and external survey feedback on service as directed by the Risk Management Team

  • Send outgoing mail and correspondence as directed by the Risk Team

  • Set up meetings, reserve and prepare meeting rooms. 

  • Provide support with loss reporting, claim inquiries, medical provider panels and requests

Understand multi-state laws, rulings, and regulations applicable to state and federal court - general liability and auto liability litigation processes. Ability to apply a working knowledge of claims litigation, adjusting and adjudication procedures.

Ability to manage confidential information while using sound judgment and discretion.

Ability to establish and maintain effective working relationships with a multitude of business partners, internally and externally.

Strong oral/written communication and presentation skills; Bilingual Spanish is a plus but not required

Proficient in Microsoft Office (Excel, Word, Power Point) and PeopleSoft applications

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, basis points


High School Diploma required, Associate’s Degree preferred

3 -5 years of experience in a legal, risk, claims, or insurance support role; or equivalent combination of education and experience
