SUMMARY

The Real Estate Coordinator is responsible for supporting the Directors of Real Estate and the broader Real Estate department through the coordination and/or management of various projects to support the operations of the Real Estate department. The RE Coordinator also performs basic administrative functions for the Real Estate Director team.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  Coordinate and schedule outside vendors for Store Set Up Team supported projects.  Submit bid invites and award bids utilizing the in-house system, CARS.

  Prepare weekly development schedule changes for slotting meetings.  Coordinate with the Construction Managers on weekly changes and submit to Construction Director.  Generate weekly slotting reports.

  Coordinate with SSC leaders on workspace moves within the Roanoke SSC.  Coordinate and schedule moves with TMs and outside vendors.

  Draft Master Services Agreements for the Facilities Department and submit to Legal for review. Issue Non-Disclosure Agreements for all supported departments.

  Support the Facilities Department in receiving and scheduling all Roanoke SSC events and coordinate the set-up of the room(s) with outside vendors for special equipment needs.

  Manage the master conference room schedule for the Roanoke and Raleigh SSCs.

  Prepare hold harmless letters, releases, etc. for SCC activities/events and deliver to the landlord. 

  Notify the landlord of any problems on Roanoke SSC premises (parking lot problems, roof leaks, etc.).  Receive work orders for the Roanoke SSC and dispatch for repairs.

  Provide administrative support to Real Estate Directors and team, including; managing calendars, coordinating travel arrangements, preparing expenses reports, preparing onboarding plans for new employees and arranging for all business related equipment, and preparing materials for quarterly business review meetings.

             Advanced proficiency in Microsoft Office software (Word, Excel, PowerPoint, Outlook), and the ability to learn other software programs as required

            Must possess excellent customer service skills with the ability to grasp extensive knowledge while dealing with a variety of people.

             Must have strong organizational and time management skills.

             Must be detail oriented.

             Ability to read, analyze and interpret verbal and written requests and directions.
             Must have the ability to compose letters, memos, emails and other written documentation clearly and concisely.

             Ability to think things through and develop processes that contribute to enhanced organizational efficiency.

EDUCATION and/or EXPERIENCE

Associates degree (undergraduate degree preferred); and one to three years related experience and/or training; or equivalent combination of education and experience.

This position has no supervisory responsibilities
