Job Description

Computes, classifies, records, and verifies numerical data for use in maintaining PCard records, to ensure proper accounting and provides departmental support by performing accounting and administrative functions. 

ESSENTIAL DUTIES AND RESPONSIBILITIES may include, but are not limited to the following.  Other duties may be assigned.  Works under general supervision to:

  • Complete period close processing and prepare period close reconciliation related to travel and expense.  Ensure all accounts are in balance at the end of each period and communicate outstanding issues to management.
  • Work with accounts payable accountant to ensure journal entries are posted
  • Prepare and maintain schedules and supporting documentation needed for management, internal and external reporting, internal and external auditors, and SOX requirements.
  • Work to resolve differences and adjustments for reconciling items between the T&E system and the banking information. 
  • Assists PCard holders with any questions via phone or email.
  • Provide support to the Corporate Accounting Department with accounting and administrative functions.
  • Work with various banks and T&E programs (Concur and Chrome River) to administer the PCard program.
  • Update the SOP as processes or systems change. 
  • Audit expense reports to ensure they are in compliance with policy.
  • Efficiently and effectively process new Pcard applications and ensure the Pcards are distributed accurately.
  • Manage limits on PCard spend through the banking system.
  • Ensure proper approvals are obtained for the appropriate requests.
  • Assist in documentation, monitoring and testing of internal controls for Accounting in accordance with Sarbanes-Oxley requirements.
  • Any other tasks that may be assigned by management.

  • Strong Microsoft Office, Excel, Access, and PeopleSoft skills.
  • Excellent interpersonal, organizational, and verbal communication skills.
  • Be able to understand the process flows from beginning to end and understand where the data is maintained and how it gets posted in the relevant systems.
  • Be able to deal with problems.
  • Be able to read and comprehend simple instructions, short correspondence, and memos. 
  • Be able to write reports business correspondence and procedure manuals. 
  • Be able to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
  • Be able to meet deadlines in a fast paced environment, and manages time effectively.
  • Be able to cross-train within department.
  • Be able to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.

EDUCATION and/or EXPERIENCE

High School Diploma and two to four years related experience and/or training
